3. Designing the invite: three levels
- Plain text message — fastest and most practical; parents can forward and save it. With all the essentials, this alone is enough.
- Free online tools — platforms like Canva have plenty of birthday templates; drop in your theme colours and a photo and you're done in ten minutes.
- Matched to the party theme — echo the backdrop's colours and motifs (blue-yellow with road markings for a car theme) so everything from invite to venue feels like one set.
One tip: always send an image invitation together with the plain text — many parents copy the text straight into their calendar, and an image-only invite is easily lost in the chat.
4. The RSVP follow-up timeline
- 4 weeks out — send the invitation with a clear RSVP deadline.
- 2 weeks out — message non-responders individually (not in the group), and make it a specific question: "just confirming numbers — how many of you will be joining?"
- 1 week out — lock the headcount with the venue and the cake order.
- 2–3 days out — final reminder with address, time and a travel link (such as our Tsuen Wan transport guide), which also catches the last undecided families.
5. Four common mistakes
- Start time only — parents don't know when to collect, which gets awkward.
